WrenchWriter ("we," "us," or "our") provides an AI-assisted tool that helps auto body shops write insurance supplement narratives. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

Information We Collect

When you create an account and use WrenchWriter, we collect:

• Account information: your name and email address, collected and managed by our authentication provider, Clerk.
• Billing information: subscription and payment details, processed by our payment provider, Stripe. We never receive or store your full card number.
• Claim and vehicle data you enter: shop name, claim/RO number, vehicle details, damage descriptions, and any other information you type into the supplement or rebuttal forms. Work in progress on a supplement is saved to your shop's account as you go, so it can be picked up later or from another computer.
• Documents you upload: estimate PDFs and carrier correspondence you upload so we can read them and fill in the form for you. We do not store the file itself; what we read from it is kept with the job it was uploaded to and any letter you generate.
• Basic usage data: how many supplements you generate, used solely to enforce subscription usage limits.

How We Use Your Information

• To operate and provide the WrenchWriter service, including reading the documents you upload and generating supplement and rebuttal letters.
• To manage your account, authentication, and subscription billing.
• To enforce fair-use limits on the number of supplements generated per account.
• To communicate with you about your account or the service, such as billing notices.
• To maintain the security and integrity of the service.

How Supplement Narratives Are Generated

The claim and damage details you submit, and any document you upload, are sent to Anthropic's Claude API solely to generate your letter or read the document, in real time. We do not use your claim data to train any AI model, and Anthropic processes it as our sub-processor under its commercial terms, which do not permit training on it either.

Photos you attach stay on your computer. They are placed into the PDF your browser builds for you to download, and are never uploaded to us or to Anthropic.

What We Keep, and Who Can See It

We do keep your saved jobs, supplements and rebuttals. That is the point of the Records and Analytics features — your history has to be there when you go looking for it, sometimes years later, because a repair can be questioned long after the vehicle leaves your shop.

Each record belongs to one shop. Every read and write in the application is filtered by your shop's identity, taken from your signed-in session rather than from the request, so one shop can never reach another shop's records— not even if it somehow learned a record's ID. Within your own shop, your records are visible to the members you have invited.

We keep records for as long as your account is active, and we do not sell, rent, or share them. Deletion is at your discretion: ask us and we will delete your saved jobs and your stored supplement and rebuttal records. Anything you choose to share outside WrenchWriter — sending a supplement to an adjuster, for instance — is your decision, not something we do on your behalf.

Third-Party Service Providers

We rely on the following providers to operate WrenchWriter. Each processes a limited set of data necessary for its function:

• Clerk — authentication and account management.
• Stripe — subscription billing and payment processing.
• Anthropic — AI-generated letter text, and reading the documents you upload.
• Vercel — application hosting and infrastructure.
• NHTSA (U.S. Department of Transportation) — vehicle specifications looked up from a VIN you enter. Only the VIN is sent.
• Sentry — error monitoring. Receives technical error details and your organization identifier so a fault can be traced to the account it affected.

These providers only receive the information necessary to perform their function and are contractually bound to protect it.

Data Security

We use industry-standard measures to protect your information, including encrypted connections (HTTPS) for all data in transit. No method of transmission or storage is 100% secure, but we work to protect your information using commercially reasonable safeguards.

Data Retention

We retain your account and billing information for as long as your account is active. If you cancel your subscription, your account information is retained for a reasonable period in case you wish to reactivate, after which it may be deleted. You may request deletion of your account and associated data at any time by contacting us.

Your Choices

You may access, update, or request deletion of your account information at any time by contacting us at the email address below. You may cancel your subscription at any time from your account or by contacting us.

Children's Privacy

WrenchWriter is a business tool intended for use by auto body shop professionals and is not directed to individuals under the age of 18. We do not knowingly collect information from children.

Changes to This Policy

We may update this Privacy Policy from time to time. We will post any changes on this page with an updated revision date.
